As with any major project, proper planning and organization are key to a successful office move. Once the decision to relocate is made, the first task is to create an Office Relocation Project Plan. This is one of the most important steps taken in an office move.
1. Have a project plan.
An office move should be planned at least six months in advance, so as soon as you decide that you want to relocate your office, start working on a detailed project plan. Your plan should include the following:
- Make a list of the necessary tasks to complete before the move can happen.
- Designate a person in charge of the relocation.
- Set out tasks and Identify who is responsible for each one.
- Set deadlines for when tasks must be completed.
2. Decide who is in charge.
Designate one person that will be the in-office move coordinator. This person responsible will oversee every aspect of the move, be sure to select someone with good organizational skills and the authority to represent your company. The person in charge must be confident and able to work with the moving company.
3. Pick a team.
Choose a team that can work closely with the in-office move coordinator to see that the move goes smoothly. The responsibility of the team can include the following?
- Listing moving tasks.
- Deciding on the task’s importance.
- Assigning responsibility.
- Setting deadlines.
4. Set a timeline.
Find out when your current lease terminates and then select your preferred moving date. After you choose a moving date, you can start filling in your timeline. Make sure you include time for de-cluttering and taking inventory, as well as adequate time to get your equipment set up in the new office
5. Plan your new office.
Your project plan should include a floor plan for your new office space, showing the location of furniture, workspaces, communal spaces, office equipment, etc
